Compliance Documents

Attach certificates and declarations to your products and understand what retailers typically require.

What Are Compliance Documents?

Compliance documents are certificates, test reports, or declarations that support your product's safety and regulatory status. Common examples include:

  • Certificates of analysis (COA)
  • HACCP plans
  • Food safety audit reports
  • Country-of-origin declarations

Major retailers and co-manufacturers often require these documents alongside your spec sheet before they will list or produce a product.

Attaching Documents to a Product

Open a product spec and navigate to the Documents tab. Click Upload Document and select the file from your computer (PDF, DOC, or image files are supported).

Give each document a clear name and select the document type from the dropdown. You can attach multiple documents to a single product.

Document Expiry Dates

Many compliance documents have expiry dates — for example, annual HACCP audits or quarterly COAs. Enter the expiry date when uploading so Batchbase can alert you when documents are due for renewal.

Expiring documents are flagged on the product overview page and in the Documents section of your dashboard.

Including Documents in Exports

When you export a Full Dossier, all attached compliance documents are bundled into the PDF package alongside the spec sheet and recipe card.

This is the recommended format for retailer onboarding — it provides all required product information in a single document that buyers can forward directly to their quality teams.
